Switching accounting firms in the UAE costs nothing in tax law — the FTA registration, Tax Registration Number and filing history belong to your business, not to the service provider — but the switch itself is where filings go wrong: a VAT return filed from the wrong trial balance or a corporate tax return built on numbers the old firm never closed. This guide gives the timeline, the data pack and the control points that move the work without disrupting a single filing, in 2026.
What does not change when you switch
Your EmaraTax registrations survive intact. The VAT registration under Federal Decree-Law No. 8 of 2017 and the corporate tax registration under FTA Decision No. 3 of 2024 sit in your name on EmaraTax; only the login access and the person preparing the work change. Nothing needs re-registration, and the AED 10,000 late-registration penalties already in the schedule for missed CT registration (Cabinet Decision No. 75 of 2023) are irrelevant to a provider switch. What you are really changing is who owns the accounting records and the workpapers behind each filing.
The switch timeline
| Week | Step | Control point |
|---|---|---|
| −4 | Sign the new firm; request the data pack from the old one | Get commitments in writing to dates, not effort |
| −3 to −2 | Receive: cloud-accounting access, trial balances, VAT returns filed, CT computations, timesheets/expenses source records | Run a closing trial balance and compare it to the last filed return |
| −2 | New firm reconciles: bank, VAT control accounts, WIP/retainers if you are a service firm | Unreconciled differences listed in writing, not waved through |
| −1 | New firm takes over filings due: VAT returns 28 days after each period, CT return within 9 months of year end | Both deadlines cited in Federal Decree-Law No. 8 of 2017 and Art. 53 of Federal Decree-Law No. 47 of 2022 |
| 0 | Old firm releases records and removes access; new firm confirms live dashboards | Confirm the record-keeping duty still has an owner |
The data pack that must move
The record-keeping duties do not pause during a handover: VAT records are kept for at least 5 years under Article 78 of Federal Decree-Law No. 8 of 2017 and its executive regulation, and corporate tax records for 7 years from the end of the relevant tax period under Article 56 of Federal Decree-Law No. 47 of 2022. The pack the old firm hands over should therefore contain, at minimum:
- Full access to (or an export of) the accounting system — not a PDF of reports.
- Trial balance for every open tax period, with the closing balance sheet.
- Filed VAT returns and their supporting workings, plus any FTA correspondence.
- Corporate tax computations and the registration record on EmaraTax.
- Supporting records: bank statements, expense evidence, timesheets for service firms, stock counts if relevant.
If the old firm resists, the authority is the tax law itself — those records are your compliance records, and your successor firm cannot keep the 5-year and 7-year duties alive without them.
The three control points that prevent disruption
- A reconciliation handshake: before the first filing the new firm prepares, it must reconcile the opening balances to the last filed return. A difference that is explained and accepted in writing is a note; a difference nobody reconciled is an FTA audit finding later.
- A filing-overlap map: list every filing due in the transition window — monthly or quarterly VAT returns, the CT return if a period is inside its 9-month window, and e-invoicing readiness if revenue reaches AED 50m (accredited service provider by 30 Oct 2026, mandatory 1 Jan 2027 under Ministerial Resolution No. 66 of 2026, or 31 Mar 2027 / 1 Jul 2027 below that). Name one owner per filing.
- A records-retention confirmation: the new firm confirms in writing it holds the full 5-year VAT and 7-year CT record trail going forward, and received the historical pack. This is the check auditors and the FTA both ask about first.
When is the right moment to switch
| Your situation | Best switching moment | Why |
|---|---|---|
| Mid-VAT-period | At the end of a VAT period, after the return is filed | Clean cut-off; no period is split across two firms |
| CT year-end inside 9-month return window | After the CT return is filed, or immediately if the new firm takes the return with a full data pack | Avoids a computation rebuilt by a firm that did not close the year |
| Mid-raise or audit | Never during; switch after | The audit file and the raise data room need continuity |
| Constant filing errors | Immediately, with the reconciliation handshake first | The risk of one more bad filing outweighs transition friction |
For the receiving side, the ongoing system your new firm runs should look like the one set out in bookkeeping for free zone companies in the UAE if you sit in a free zone, or the monthly close routine that keeps VAT and corporate tax aligned in bookkeeping for professional service firms in the UAE. And if the switch is happening because VAT registration itself is new, the threshold mechanics are in VAT registration for freelancers in the UAE.
Finanshels takes over existing books across the UAE with a structured migration pack, keeps every filing deadline in the transition window, and owns the 5-year and 7-year record trail from day one.
